Privacy Policy

IDP Tool ("the Service") is operated by Solid State Software LLC ("we," "us"). This policy explains what information the Service collects, how it is used, and the choices available to the clubs, coaches, players, and families who use it.

Who controls the data

The Service is provided to soccer clubs. Each club that uses IDP Tool decides what information to enter and who at the club may access it. In privacy terms, the club is the data controller and Solid State Software is a service provider (processor) acting on the club's behalf. We do not use a club's data for our own purposes.

Information we collect

• Account information for coaches and administrators: name, email address, and a securely hashed password.
• Player development information entered by club staff: player name, date of birth, playing position, coach assessments and scores, development goals, notes, self-assessments, and optionally a photo.
• Parent/guardian contact email, when a club adds it to a player, used to send that player's Self-IDP development links and related updates.
• Billing information for paying clubs: handled by our payment processor, Stripe. We never see or store full card numbers.
• Basic technical logs needed to operate and secure the Service.

Children's and minors' data

Player records typically describe minors. This information is entered by the club's coaches and staff, not by the players themselves. Because the club is the controller, the club is responsible for providing notice to, and obtaining any consent required from, parents or guardians under applicable law (for example, COPPA in the United States) before entering a child's information.

We handle players' information only to provide the development-tracking features the club uses. We do not sell it, use it for advertising, or share it with third parties except the service providers needed to run the Service (such as our hosting and payment providers).

How information is used

• To provide the development-tracking, assessment, and reporting features.
• To authenticate users and keep each club's data separated from others.
• To email Self-IDP development links and related updates to a player's parent/guardian, when the club has provided that email. These are service-related messages sent on the club's behalf, not marketing.
• To process subscription billing for paying clubs.
• To provide support and to maintain the security and reliability of the Service.

Who can see a player's information

A player's information is visible only to authorized staff of the club that owns the record, and to Solid State Software personnel where necessary to operate or support the Service. Clubs cannot see one another's data.

Data retention and deletion

We keep club data for as long as the club maintains an active account. A club may request deletion of its data, and coaches can delete individual player records within the app. To request deletion or export, contact us at the address below.

Security

We use industry-standard measures including encrypted connections (HTTPS), hashed passwords, per-club data isolation, and routine backups. No system is perfectly secure, but we work to protect the information entrusted to us.

Payments

Subscription payments are processed by Stripe. Card details are handled entirely by Stripe under its own privacy and security practices; we receive only the subscription status and non-sensitive billing metadata.

IDP Tool references general player-development concepts but is an independent product. It is not affiliated with, endorsed by, or sponsored by the United States Soccer Federation or any governing body.

Changes to this policy

We may update this policy from time to time. Material changes will be posted here with an updated date.
